Meetings & Events
On this page you will find our general terms and conditions for Meetings & Events and room reservations. These include VAT rates, payment terms, cancellation conditions and agreements regarding changes in guest numbers. We recommend reviewing these terms carefully to ensure full clarity in advance.
VAT rates
About the rates
All quotes include VAT.
As of January 1, 2026, a possible VAT increase from 9% to 21% may take effect. This could result in adjusted rates in the quote to reflect the new VAT.
Deposit requirement
About the (pre)payment
For a confirmed reservation, we apply the following deposit terms:
60% deposit – 2 months before arrival date
20% deposit – 1 month before arrival date
If the deposit deadlines have already passed when making the reservation, we request payment of 80% of the reservation value within 48 hours.
Any amount already paid will be deducted from the final invoice, which will be sent after the event and must be paid within 14 days of the invoice date.
Cancellation policy for individual bookings (up to 9 rooms)
Cancellation policy for individual room reservations
Individual room reservations can be cancelled free of charge until 12:00 on the day before arrival. If the room(s) are cancelled after this time or in case of a no-show, 100% of the first night’s reservation value will be charged. For reservations of multiple nights, only the first night will be charged and the following nights will be cancelled. If you have booked a non-refundable rate, the full payment will be retained by the hotel.

Cancellation policy for group room reservations
For group reservations, we apply the following conditions:
More than 151 days before arrival: free changes and cancellations
150 – 101 days before arrival: up to 50 nights can be cancelled free of charge, €75 for each additional cancelled night
100 – 57 days before arrival: up to 30 nights can be cancelled free of charge, €85 for each additional cancelled night
56 – 43 days before arrival: up to 25 nights can be cancelled free of charge, €95 for each additional cancelled night
42 – 28 days before arrival: up to 15 nights can be cancelled free of charge, €95 for each additional cancelled night
28 – 14 days before arrival: up to 5 nights can be cancelled free of charge, €125 for each additional cancelled night
13 – 5 days before arrival: €125 for each cancelled night
5 – 2 days before arrival: €125 for each cancelled night
Less than 1 day before arrival at 12:00 / no-show: 100% of each cancelled night will be charged

Meeting room cancellation policy
More than 7 days before the event: free cancellation
7 – 4 days before the event: 85% of the total reservation value will be charged
3 – 0 days before the event: 100% of the total reservation value will be charged
No-show: 100% of the total reservation value will be charged
Cancellation policy for meeting rooms for quotes/invoices up to €2,500 (excluding room nights)
Meeting room cancellation policy
More than 14 days before the event: free cancellation
14 – 7 days before the event: 60% of the total reservation value will be charged
6 – 4 days before the event: 85% of the total reservation value will be charged
3 – 0 days before the event: 100% of the total reservation value will be charged
No-show: 100% of the total reservation value will be charged

Meeting room cancellation policy
More than 28 days before the event: free cancellation
28 – 14 days before the event: 50% of the total reservation value will be charged
13 – 7 days before the event: 60% of the total reservation value will be charged
6 – 4 days before the event: 85% of the total reservation value will be charged
Within 72 hours: 100% of the total reservation value will be charged
No-show: 100% of the total reservation value will be charged

Meeting room cancellation policy
6 months before the event: free cancellation
3 months before the event: 50% of the total reservation value will be charged
90 – 56 days before the event: 60% of the total reservation value will be charged
55 – 28 days before the event: 85% of the total reservation value will be charged
27 – 0 days before the event: 100% of the total reservation value will be charged
No-show: 100% of the total reservation value will be charged
Changes in number of guests (F&B arrangements)
Changes
28 days before the event: up to 50% reduction of the originally contracted number of guests is allowed; increases are free of charge depending on room capacity.
28 – 14 days before the event: up to 30% reduction of the originally contracted number of guests is allowed; increases are free of charge depending on room capacity.
13 – 7 days before the event: up to 20% reduction of the originally contracted number of guests is allowed; increases are free of charge depending on room capacity.
6 – 3 working days before the reservation date: up to 10% reduction of the originally contracted number of guests is allowed; increases are free of charge depending on room capacity.
Within 72 hours: 100% of the originally contracted number of guests will be charged.
If we do not receive any changes in guest numbers, the contractually agreed number of participants will be charged.
Standard Hotel, Restaurant & Catering Terms
Standard Terms & Conditions
In cases where this framework agreement conflicts with the Standard Hotel, Restaurant & Catering Terms, this agreement shall prevail.
